In an institution like the Camarines Sur Polytechnic Colleges, where operational efficiency and controlled use of resources is required, manual processes within the Production and Auxiliary Services (PAxS) office created a critical bottleneck. This resulted in records supposedly prone to errors and a significant lack of real-time visibility in inventory and sales. The Web-Based Management System for CSPC Production and Auxiliary Services with Inventory and Sales Tracking thus emerges as a transformational solution to revolutionize basic PAxS operations. This new web-based system specifically provides the accuracy required by setting up automated and centralized tracking of sales, inventory, and vehicle pass applications, thus improving overall accountability and administrative control. Automating these key workflows substantially reduces the administrative load on personnel and significantly increases the quality and expedience of service delivery. Developed using the Agile Scrum Methodology, the iterative, user-friendly process ensured the final system architecture—including User Account Management, User Ordering, Digital Vehicle Pass Application, Integrated Sales and Inventory Tracking, Payment Processing, and Comprehensive Report Generation modules—met all stakeholder requirements. To determine the system's quality and institutional readiness, comprehensive black-box testing was conducted in three important dimensions. The strict quantitative findings reveal the system to be viable: Functional Testing scored an outstanding 0.97 (High Functionality), proving all modules acted as per specifications. Performance Testing scored 0.88 (High Performance), indicating system stability and efficiency under full transaction load. Security Testing yielded 0.89 (Low Risk), which confirms strong controls were established to keep sensitive institutional information safe. The study's aims were achieved with the development of this web-based system, which provides PAxS with a stable, productive, and secure solution that significantly improves accountability, increases operational speed, and enables data-driven decision-making, making the platform applicable for large-scale institutional adoption.
