The College of Computer Studies (CCS) Department at Camarines Sur Polytechnic Colleges currently relies on a manual scheduling system for thesis and capstone project oral defenses. This traditional approach, managed by an appointment coordinator, is time-consuming, prone to errors, and susceptible to scheduling conflicts. Additionally, students who miss their scheduled defense must independently arrange an alternative schedule, adding to the inefficiency of the process. To address these challenges, the researchers developed DefendEase: A Thesis Defense Scheduling System, an automated scheduling tool designed to streamline and optimize the scheduling process. The system aims to improve efficiency, reduce human errors, and provide a structured, user-friendly platform for subject advisers, students, thesis advisers, and panelists. The effectiveness of DefendEase was assessed through User Acceptance Testing (UAT) and Scalability Testing. A total of 273 participants, including four (4) CaPSA representatives, five (5) IT experts, and twenty-four (24) panelists, were involved in the evaluation. The UAT results confirmed that the system is fully functional, achieving an arithmetic mean of 1.0, with no errors reported by users. Similarly, the Scalability Testing also yielded an arithmetic mean of 1.0, with IT experts confirming the system’s capability to handle the expected user load without issues. Based on these findings, the researchers conclude that DefendEase successfully simplifies the thesis defense scheduling process, enhances productivity, minimizes scheduling conflicts, and ensures a seamless user experience. The system is fully functional, responsive, and accessible via web and mobile platforms, making it a reliable tool for academic scheduling.
