Dissertation note: Undergraduate Theses (BSIS) - Information Systems. Camarines Sur Polytechnic Colleges, 2023. Abstract: The Department of Justice – Parole and Probation Administration (DOJ-PPA) in Iriga City has significantly evolved to address the challenges posed by technological advancements and societal demands. Transitioning from manual processes to automated Information Management Systems (IMS), the agency currently utilizes two systems: the Extension Services Office Records Management System (ExSORMS) and the Case Management Information System (CMIS). In general, the objective to identify the features and challenges of these IMS, assess and compare their effectiveness in terms of user satisfaction, system usage, performance, and productivity, and develop a plan of action for enhancements. To address the objective of the study, a mixed-method research design and the IS Effectiveness framework were employed, with data gathered through interviews and surveys. The research findings reveal that ExSORMS, with its user-friendly interface and task automation, achieves higher effectiveness ratings, enhancing productivity and data accessibility. Conversely, CMIS, while offering comprehensive case management features, struggles with usability and technical reliability. Thus, the proposed plan of action focuses on addressing these issues: for ExSORMS, biometric integration for attendance tracking and ICT infrastructure upgrades to support scalability; for CMIS, improvements in system reliability, user interface design, and regular maintenance to reduce downtime. Overall, the study highlights the importance of user-centered design and robust infrastructure in optimizing IMS for justice administration. By implementing these improvements, the DOJ-PPA can create a more efficient and user-friendly system that better supports its mission, ensuring smoother operations and meeting the needs of both staff and stakeholders.
